Privacy Policy

The short version

Your audio never reaches us. Transcription runs inside your own browser, so your recordings, your transcripts, and your subtitle files stay on your device. There is no account, and nothing to sign up for.

The only personal information we ever hold is what you type into the contact or feedback form, and only if you choose to use one. Everything else on this page is detail: who else your browser talks to, what is stored on your device, and what you can ask us to do.

Who is responsible for your data

MeetingScribe is published and operated by Sugarpine Property Management LLC, a limited liability company registered in Colorado, United States, trading as SugarPinePM. That company is the data controller for the purposes of this policy. You can reach us at hello@meetingscribe.net about anything on this page, including any request described under your rights below.

What we do not collect

• Your audio. It is never uploaded. There is no server that could receive it.
• Your transcripts, subtitles, or speaker names. Produced on your device and kept there unless you download or share them yourself.
• Account details. There are no accounts, usernames, or passwords.
• Payment details. The tool is free and there is no billing of any kind.

You do not have to take this on trust. How it works shows you how to watch your own network traffic and confirm it, and how to run a transcription with your internet disconnected.

What we do collect

Messages you send us

If you use the contact form or the feedback prompt that appears after a transcription, we receive what you type: your message, the topic you selected, the page you were on, the time it was sent, and your name and email address if you chose to supply them. Both are optional, and a message without them is still read.

These are stored in a private spreadsheet hosted on Google Workspace that only SugarPinePM can access. We use them to answer you and to fix what you reported, and for nothing else. They are not used for advertising, not added to any mailing list, and not shared. We keep them for up to 24 months so we can follow up on a bug or a correction, then delete them. You can ask us to delete yours sooner at any time.

Please do not paste transcripts, recordings, client names, or other confidential material into these forms. They are ordinary web forms, and unlike the transcriber, what you type does travel over the internet.

Usage analytics

We use Umami, a privacy-focused analytics service, to count page views and anonymous events such as "a transcription completed" or "the notes prompt was copied". It sets no cookies, does not build a profile of you, and does not follow you to other sites. It never records file names, audio, or transcript text. We use it only to see which pages and features are worth keeping.

Server logs

The site is hosted on Google Cloud. Like any web host, it processes standard request logs that include IP address, browser type, and the page requested, for security, abuse prevention, and reliability. We do not use these logs to identify individuals.

Who else your browser talks to

Being precise about this matters more than a blanket promise, because these are requests your browser makes directly, and the companies receiving them can see your IP address:

• jsDelivr and Hugging Face. The transcription engine and the speech models are downloaded from these public hosts the first time you transcribe. They receive a request for a file, plus your IP address, as any download does. They receive nothing about your audio, because your audio is not part of the request.
• Google Fonts. Page fonts are served by Google.
• Google AdSense. Only after you accept cookies. See below.
• Umami. The analytics script described above.

Advertising

The site is free and funded by advertising through Google AdSense. This is the part of the site with the most privacy impact, so:

• The advertising script is not loaded at all until you accept cookies in the banner. Decline and it is never requested.
• If you accept, Google and its partners may set cookies and use them to select and measure advertising, which can include personalized advertising based on your activity across other sites.
• You can review and change what Google uses at myadcenter.google.com, and see how Google handles data at policies.google.com/technologies/partner-sites.
• You can change your mind at any time by clearing this site's data in your browser, which resets the banner.

We do not sell your personal information for money. Under some laws, including California's, allowing personalized advertising can count as "sharing" or a "sale" of personal information. Declining cookies in the banner is how you opt out of that here.

Speaker labels and voice signatures

When speaker labelling is set to its most accurate mode, the tool computes a numeric voice signature for short excerpts of your recording so it can tell which parts belong to the same person. This happens in your browser's memory and is discarded when the transcript is ready.

No signature is stored, transmitted, or compared against any other recording, and there is no database of known voices. It identifies nobody: it only tells voices apart within the one file. If you would prefer none to be computed at all, the faster speaker mode skips that step entirely. See speaker labels for the detail.

Saved progress on phones

This is the one part of MeetingScribe that writes what you are working on to storage. It applies on phones only, and only while a transcription is in progress.

A phone cannot keep working once you switch to another app, because the browser may discard the page at any moment. So after each part of a long recording is transcribed, the text so far and the voice signatures used to tell speakers apart are saved into your browser's own storage on your device. If the job is interrupted, reopening the page and choosing the same file offers to carry on rather than start again.

• It stays on your device. It is not transmitted, and we never see it.
• It is deleted the moment the transcription finishes.
• There is a "Delete saved progress" button whenever any exists, and anything left by an abandoned run is removed automatically after 24 hours.
• Nothing is saved on a computer, and nothing is saved when a transcription is not running.

The honest caveat: between an interruption and that automatic clear-out, a partial transcript exists in your browser's storage. Somebody else using the same phone and the same browser could potentially recover it in that window. If you are transcribing something sensitive on a shared device, either finish the job in one go or use the delete button afterwards.

What else is stored on your device

• Your cookie choice, so the banner does not reappear on every page.
• A small counter recording that you have visited before and how many transcriptions you have run. It stays in your browser, is not linked to any identifier, and is never sent to us. It exists so we can tell repeat use from first-time use in aggregate.
• The downloaded speech models, held in your browser cache so later runs start quickly.

Clearing this site's data in your browser removes all of it, including the cached models, which will download again next time.

Your rights

Because we hold so little, most requests have a short answer: there is nothing of yours on our side to export or delete, other than a message you may have sent us. For that message, and depending on where you live, you may have the right to:

• Ask what we hold about you, and get a copy.
• Have it corrected if it is wrong.
• Have it deleted.
• Object to or restrict how we use it.
• Withdraw consent you previously gave, including for advertising cookies.
• Not be treated differently for exercising any of these rights.

Email hello@meetingscribe.net and we will act on it. If you are in the UK, EU, or EEA and you are unhappy with how we respond, you may complain to your national data protection authority.

Where we rely on a legal basis under UK or EU data protection law: advertising cookies rely on your consent; replying to a message you sent us relies on our legitimate interest in answering, or on your consent; cookieless analytics and security logging rely on our legitimate interest in running a reliable site.

International transfers

Our hosting, the contact-form spreadsheet, and advertising are provided by Google, and analytics by Umami. These providers operate internationally, so data described on this page may be processed outside your country, including in the United States, under the safeguards those providers offer.

Children

MeetingScribe is not directed at children and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us a message, contact us and we will delete it.

Changes to this policy

We update this page when the product changes, and the date at the top always reflects the last revision. If a change materially affects what we collect, we will say so on the page rather than quietly editing it.
